ENTRY RULES AND GUIDELINES

  1. You may use a photocopy of the physical or downloaded form to send in your application or can apply online.

  2. Only one applicant can apply for the Event using a single form. Also, do not send in more than one entry per person; multiple applications will entail all being rejected.

  3. Applicants must submit their entries only via the Application Modes. No individual/group has been authorised to collect entries on behalf of the organizers.

  4. NO GROUP ENTRIES will be accepted for the Open 10K Run category, only individual application will be accepted for the 25K Run.

  5. One representative can submit application forms for maximum 10 individuals.

  6. Before sending in your application, please check if you

    • have filled in details against all mandatory fields prefixed with ‘*’ in the application form
    • have attached a copy of your latest timing certificate as may be required to confirm you under priority line up on race day (if applicable).
    • have affixed a copy of your latest colour passport sized photograph with face clearly visible on the form. All participants’ race day images will be screened visually after the race and matched with the photo provided at the time of registration. If the photo provided during registration does not match with race day photo of the confirmed participant, the registered runner will be disqualified from the race and the subsequent edition of the event.
    • have attached a copy of either your Aadhar card, PAN card or passport to the form which has your clear date of birth on it.
    • have enclosed the requisite application fees (refer to ‘application fees’ chart).
    • have signed the ‘waiver’ and ‘consent’ in the application form.
    • if applicant is below the age of 18 years, the guardian has also signed the ‘waiver’ and written his/her relation with the applicant.
  7. We recommend Champions with Disability participants be accompanied by an attendant (buddy) on race day. The attendant is required to fill in a separate form and submit the same along with the form of the Champions with Disability participant, marking the said form as “Buddy of _______ (name of Champions with Disability participant)”. No entry fee is charged for the buddy.

  8. Group entries

    • Group Entries are only applicable only for Majja Run, Senior Citizens’ Run and Champions With Disability race categories

    • Please DO NOT club Open 10K run entries with group entries. Such entries will be disqualified.

    • Where 20 or more individuals submit their entries together, using any of the modes detailed below, this will constitute a group entry.

      I) Online group registration using scratch card

      • All the members of the group need to register individually online

      • Each group needs to purchase the scratch cards in advance and distribute them to its members. At the time of purchasing scratch card, the group needs to provide below mentioned documents:

        • PAN Card of the company/NGO/any other entity

        • A covering letter on an official letterhead issued by the company/NGO/any other entity. Format of the covering letter which includes the following:

          i. Name of the group.
          ii. Total Number of entries to be submitted
          iii.Details of Payment made to purchase scratch cards in bulk i.e. Cheque/DD/Card Payment, date of purchase, amount, bank details in case of Cheque/DD submitted.
          iv. Name, contact number, email id of the one point of contact of the group and address of the company/entity/NGO.
          v. GST Number of the company/entity/NGO to raise an invoice
          vi. State Name and State Code to raise an invoice

        • The cheque/DD should be of the consolidated value of application fees applicable for each individual group member. The cheque/DD should be drawn in favour of “Procam International Pvt. Ltd.”.

        • Post submission of the above given documents, an invoice will be sent to the point of contact’s email address mentioned in the covering letter.

        • Purchasing scratch cards does not guarantee entry to the event and the members of the group need to register online here using scratch cards before the registration end date or till the running spaces are available. Event promoters will close registrations as and when the running spaces are filled.

        • Once scratch cards are purchased, it can only be used online for TCS WORLD 10K BENGALURU 2019 edition and till the time registrations are open or running spaces are available. Unused scratch cards cannot be returned or cancelled and the amount paid for purchasing unused scratch cards will be refunded after deducting processing fees of Rs 150.

        • Online entries using any other payment mode other than scratch cards will not be treated as a group entry.

        • All requisites to register online by an individual needs to be fulfilled to complete online registration.

        II) Physical Forms

        • All members of a group have to fill and sign individual application forms. Under ‘Application Type’ in the application form, applicants need to choose ‘Group’, mentioning the group name and size of the group.

        • Only one cheque/DD will be accepted for group entries. This cheque/DD should be of the consolidated value of application fees applicable for each individual group member .The cheque/DD should be drawn in favour of “PROCAM INTERNATIONAL PVT. LTD.”

        • Each group must submit their entries together at one time along with a copy of PAN card of the company/NGO/ any other entity, in a single envelope under a covering letter of the company/NGO/ any other entity as per the format mentioned

          i. Name of the group.
          ii. Total Number of entries to be submitted
          iii.Details of Payment made to purchase scratch cards in bulk i.e. Cheque/DD/Card Payment, date of purchase, amount, bank details in case of Cheque/DD submitted.
          iv. Name, contact number, email id of the one point of contact of the group and address of the company/entity/NGO.
          v. GST Number of the company/entity/NGO to raise an invoice
          vi. State Name and State Code to raise an invoice

        • Post submission of the above given documents, an invoice will be sent to the point of contact’s email address mentioned in the covering letter.

        • Deposit application forms along with requisite application fees and covering letter at our Registration office (timing: 10 am to 6 pm, Monday to Saturday).         • Where any discrepancy is found in any of the above mentioned mandatory requirements, your application will not to be accepted.

  10. On entry confirmation, Open 10K runners will be further classified into age categories for prize money. There is no prize money in Majja Run, Senior Citizens’ Run and Champions With Disability race categories.

  11. The line-up sections given in this application overleaf are indicative and may undergo a change, which will be communicated on the event website post closure of all registrations.

  13. Entries not accepted: Participation in the event is subject to entry confirmation. Where your entry is not confirmed for any reason, the entry fees paid by you will be refunded on or before 30th May 2019. An amount of Rs. 150 will be deducted as processing charges. You will be required to provide your bank details on a link provided by the Event’s Registration team. Any refund discrepancies must be brought to the attention of the Event Registration Team immediately. Application fees shall not be refunded by virtue of non-participation, including failure by a confirmed participants to collect his/her bib from the Expo. Refund queries will not be entertained post 07 June 2019.

  14. Confirmed participants of Open 10K who are unable to participate on race day due to unavoidable circumstances like injury or illness, will now be able to surrender their bibs to Procam International. The application fees paid will be refunded post deduction of Rs. 150 as processing charges. Confirmed participant can only surrender his/her bib with effect from 18th April 2019 (10 am IST) to 26th April 2019 by filling the bib surrender request form online. Requests for cancellation/bib surrender and thereby, refund will not be entertained post 18th April 2019. Further, application fees shall not be refunded by virtue of non participation, including failure by a confirmed participant to collect his/her bib from the Expo

  15. Running number bib collection:

    All confirmed participants/their authorized representatives are required to come to the Get Active Expo Bengaluru (address will be confirmed on the website, closer to the event) scheduled from 16th May 2019 to 18 May 2019 in order to collect their running number bibs. No running number will be posted to individual mailing addresses.

    1. It is mandatory for all participants to collect his/her running number personally from the Get Active Expo. In case of unavoidable circumstances, such runner can send his/her authorised representative to collect running number bib on his/her behalf. Please note, a representative will not be allowed to collect running number bib on behalf of more than ONE Open 10K Run participant.

    2. Authorised representative must carry with him/her (a) the email/website confirmation downloaded from application status here, (b) photo-identity proof (Aadhar card, PAN card or passport) of the representative and the confirmed participant.
  16. Confirmed runner’s identity and proof of residence may be verified by a verification agency hired for validating the details provided by you in the form. Where any information and/or any document provided by an applicant/runner at any point in time is found to be incorrect, participation of the said runner shall be withheld /disqualified and there will be no refund of application fees paid by the runner. All benefits accruing to the said runner as a participant of Tata Consultancy Services TCS World 10K Bengaluru 2019 shall stand forfeited

  17. All participants’ race day images will be screened visually after the race and if any of the participant is found not wearing the running number bib allotted to him/her, the participant registered for that bib will be disqualified from the race and the subsequent edition of the event in 2020. Further, Procam International reserves the right to take necessary legal action against the registered participant and the person who has used the running number bib on race day, for impersonation.

  19. Please thoroughly go through all information mentioned in this form prior to submitting your application. Confirmation of applications received will be subject to the applicable confirmation criteria and the entry rules given herein.
  20. This application form and the right to participate in the event and the rights and benefits available to the applicant under this entry form is at the sole discretion of the event Promoter, Procam International Pvt. Ltd., and cannot be transferred to any other person under any circumstances. The applicant alone shall be entitled to the rights and benefits arising out of such confirmation of participation.
